Salestrics Mail
Use Salestrics Mail to send, read, and organize work email. Open it at mail.salestrics.com or from the App Launcher.
Beta: Salestrics Mail is still being improved. Some parts may change.
Every workspace gets mailboxes for your team. You can also connect Gmail, send email from CRM records, and route inbound mail into leads or cases.
Open your inbox
- Sign in at mysalestrics.com.
- Open the App Launcher.
- Choose Mail.
The sidebar shows your mailboxes, folders, and storage usage. Use the mailbox switcher at the top to move between your personal address, shared inboxes, and a connected Gmail account.
Know your mailbox types
Personal mailbox
Your personal mailbox is your own work address on Salestrics Mail (for example you@mysalestrics.com). It is provisioned when you join a workspace. Only you read and send from this inbox.
Attachments in your messages use space in your Workspace Drive.
Organization inbox
Each workspace has a main company address (for example your-company@mysalestrics.com). This org-wide inbox powers record email on CRM and service records.
Mail sent to the default org address does not create a new case or lead by itself. Use a shared mailbox with Email-to-Case or Email-to-Lead when you want inbound mail to open a record automatically.
A mail admin can change the address prefix in Mail Admin → Shared mailboxes.
Shared mailboxes
A shared inbox lets a team work from one address — for example support@yourcompany.com or sales@yourcompany.com.
An admin can set each shared mailbox to:
- Email to Case — new messages create a support case in Resolve.
- Email to Lead — new messages create a lead in Momentum CRM.
To create or edit a shared mailbox:
- Open Mail Admin.
- Choose Shared mailboxes.
- Add a mailbox or open an existing one.
- Set the name, address prefix, and purpose (Email to Case or Email to Lead).
- Choose Manage access to pick who can read and who can send.
- Save your changes.
Connected Gmail inbox
You can read and send Gmail inside Salestrics Mail alongside your Salestrics addresses.
To connect Gmail:
- Open User Settings.
- Find Google integration.
- Choose Connect Google.
- Sign in and approve access.
Gmail appears as a second mailbox in Mail. Gmail syncs live from Google. Some Mail features work only on Salestrics Mailboxes — see AI in Mail and Troubleshooting.
Record email on CRM records
Record email keeps a conversation on the right lead, contact, account, opportunity, case, or service request. Open a supported record and choose the Email tab to see threads, send a message, or reply.
When you send from a record, Salestrics adds a reference token to the subject (for example [Ref: SR-…]). Replies that include that token route back to the same thread, even if the customer replies from outside Salestrics.
Record email works on:
- Leads, contacts, accounts, and opportunities in Momentum CRM
- Cases and service requests in Resolve

Read and work with threads
- Open a mailbox and folder (Inbox, Sent, and so on).
- Select a message to open its thread.
- Use Reply or Reply all to respond.
- Use Archive (
e) to move a message out of the inbox without deleting it.
Threads show the full conversation in order. If an AI summary is available, it appears at the top of the thread.
Standard folders
Every Salestrics mailbox includes:

Right-click a message (or use the context menu) to mark read or unread, flag, archive, or move to trash. These actions apply to Salestrics Mailboxes, not Gmail.
Undo send
After you send from a Salestrics mailbox, you have about 8 seconds to Undo before the message leaves. Gmail sends immediately and does not offer undo in Mail.
Compose and send
- Select Compose (or press
c). - Choose the From address if you have more than one mailbox.
- Add To, and optionally Cc or Bcc.
- Add a subject and your message.
- Attach files if needed.
- Select Send.
Tips:
- Separate multiple addresses with commas or semicolons.
- Salestrics Mail checks addresses before send.
- Large attachments count toward your Drive space — check the storage indicator in the Mail sidebar.
- Save a Draft to finish later (Salestrics Mailboxes only; Gmail compose in Mail does not save local drafts).
- Use the rich-text toolbar for formatting, links, and lists.
Add a signature
- Open a new message.
- Choose Signature.
- Add your name, title, and contact details.
You can keep a different signature for Salestrics Mail and for Gmail. Turn a signature on or off without deleting it.
Record email and CRM sync
Record email ties customer conversations to the records your team already works in.
Send from a record
- Open a lead, contact, account, opportunity, case, or service request.
- Open the Email tab.
- Choose Send email.
- Write your message and send.
The thread stays on the record. Your team's activity timeline updates so everyone sees the same history.
Reply on a record
- Open the Email tab on the record.
- Select a thread.
- Write your reply and send.
Replies go through your organization inbox. Keep the reference token in the subject when you forward or reply so routing stays correct.
Inbound mail that creates records
When a shared mailbox is set to Email to Lead or Email to Case, a new message to that address can create a lead or case automatically. The original email is attached to the new record.
Test the flow after setup:
- Send a message to the shared address from an outside mailbox.
- Check Leads in Momentum or Cases in Resolve.
- Open the new record and confirm the email thread is there.
Use AI in Mail
Salestrics AI can help you write, rewrite, and understand email. AI uses your workspace's monthly Salestrics AI token limit.
In the Mail app
Open the AI panel in Mail (sparkle icon) or use actions in compose:

Some actions need an open thread or a draft in the compose box. Reply suggestions, follow-up, summarize thread, and action items work on Salestrics Mail threads only — not Gmail.
You can also ask Salestrics AI to draft or summarize from the compose menu. Long threads can be summarized in the reader view.
On CRM records
On the Email tab of a record, use AI to:
- Draft a CRM-aware message using record and thread context
- Summarize the thread
- Get reply options or a follow-up draft
- Extract action items
- Adjust tone or improve the subject (keep
Re:and[Ref: SR-…]tokens intact)
AI on records uses the same token pool as Mail and Assistant.
Find mail
Use the search box in Mail. Search for a name, email address, word, or subject.
You can open a folder first. Your search then looks in that folder, including a custom folder.
Choose Load more at the bottom of a long list to see older messages.
Use search filters
Narrow your search with simple filters:
from:person@email.com— messages from that senderto:team@yourcompany.com— messages sent to that addresshas:attachment— messages with files attachedafter:2026-01-01— messages after a datebefore:2026-12-31— messages before a date
Add a word search at the end. Example: from:alex invoice.
Organize mail with folders
Custom folders help you group messages with saved filters.
- In the Mail sidebar, find Folders.
- Click the + button to make a new folder.
- Name the folder and set filters if prompted.
- Move messages into the folder from the message menu.
You can search inside a custom folder. Delete a folder from the sidebar when you no longer need it.

Press ? in Mail to see shortcuts. Common ones:

Shortcuts are disabled while you type in compose fields.
Set up Mail Admin
Mail admins manage addresses, domains, and team access. Open Mail Admin from Mail or go to /mail/admin.
You need mail admin access (or org administrator access) to change these settings.
Provision mailbox users
Each workspace member can have a Salestrics Mail address.
- Open Mail Admin → Mailbox users.
- Find the person.
- Provision their mailbox if it is not ready yet.
- Set their mailbox username (the part before
@). - Optionally grant Mail admin so they can manage domains and shared inboxes.
Mail admins can reset mailbox passwords and update login email from the same screen.
Set the org-wide inbox address
- Open Mail Admin → Shared mailboxes.
- Under Org-wide inbox, set the address prefix.
- Save.
The preview shows the full address after save. This inbox is used for record email threading.
Share a team inbox
- Open Mail Admin → Shared mailboxes.
- Add a shared mailbox with a name and prefix.
- Choose Email to Case or Email to Lead.
- Open Manage access.
- Choose who can read and who can send from the shared address.
- Save.
Use your own email domain
Growth and higher plans let you send and receive from your company domain (for example @yourcompany.com). Lower plans use @mysalestrics.com addresses.
To add a custom domain:
- Open Mail Admin → Custom domains.
- Enter your domain.
- Add the DNS records shown in Mail Admin at your domain registrar or DNS host.
- Select Verify.
- Wait until the domain status is Active.
- Set the domain as Primary when you are ready to use it for new addresses.
Do not change old mail DNS until the new domain is active and verified.
DNS records you will add
Mail Admin shows the exact hostnames and values for your domain. You typically add:

| SPF (TXT) | Authorizes Salestrics Mail to send on behalf of your domain |
| DKIM (TXT) | Signs outbound mail so receivers can verify it |
| DMARC (TXT) | Recommended for monitoring deliverability (optional but advised) |
DNS changes can take up to 48 hours to propagate. Use Verify again if records were just added. Mail Admin shows checkmarks for MX, SPF, DKIM, and DMARC when each passes.
If verification fails, confirm you copied each value exactly and that no old MX records still point elsewhere.
Use an external email app
Mail Admin lists IMAP and SMTP hostnames for your workspace. You can use them in Outlook, Apple Mail, or another client if your organization allows it. Ask your mail admin for your mailbox password from Mail Admin → Mailbox users.
Fix common mail problems
Your new mailbox is not ready
Mailbox provisioning can take a minute after you join a workspace or an admin provisions your account.
- Wait about one minute.
- Refresh Mail.
- If it still fails, ask a mail admin to check Mail Admin → Mailbox users.
A message will not send
- Check each email address for typos.
- Remove a very large attachment and try again.
- Check your free Drive space in the Mail sidebar.
- Make sure you chose the right From mailbox.
- For a shared mailbox, confirm you have send access.
A connected inbox will not load
- Open User Settings.
- Under Google integration, reconnect Google or disconnect and connect again.
- Return to Mail and use the refresh button in the sidebar.
Some Google accounts cannot use the Gmail inbox API. User Settings shows a short note if Gmail is unavailable on that account.
Custom domain verification fails
- Open Mail Admin → Custom domains and read the error.
- Confirm MX, SPF, and DKIM records match Mail Admin exactly.
- Wait for DNS propagation and select Verify again.
- Remove conflicting MX records at your registrar.
Record email did not thread correctly
- Confirm the reply still includes the
[Ref: SR-…]token in the subject. - Check that the message was sent to your organization inbox or the correct shared address.
- Open the record's Email tab and refresh.
A message looks wrong
Try opening the message again. If it still looks wrong, contact support. Share the sender and subject. Do not send private message text unless support asks for it.
